Privacy Policy

As awareness and concerns about the protection of personal information is increasing worldwide, it is important that businesses, both small and large, implement and provide their site visitors with a comprehensive privacy policy.


On May 25th 2018, the General Data Protection Regulation—known as the GDPR— is effective.  The aim is to protect the personal data of all EU citizens.

1. What is a privacy policy

A privacy policy is a statement that discloses some or all of the ways a website collects, uses, discloses, and manages the data of its visitors and customers. It fulfills a legal requirement to protect a visitor or client's privacy.

2. Why do we collect client data?

 

We collect such non-personal and personal information for the following purposes:

  • To design bespoke product and communicate with our customers ensuring quality product and service.

  • To create aggregated statistical data and other aggregated and/or inferred non-personal information, which we or our business partners may use to provide and improve our respective services. 

  • To inform clients of future products, schedules for upcoming craft shows ad fairs that we may be attending.

 

3. What type of information do we collect?

We receive, collect and store any information you enter on our website or provide us in any other way.  In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page.

 

We collect a name and email address at the point of enquiry, and subsequently will ask for a delivery address if the item is to be posted or hand delivered.

4. How do we you collect information?

We collect personal information you give us such as your name and email address via the website using the Quote request form, directly to the artful topper via email, or phone or hand written communication.

We may ask for customer feedback information to check that the customer is happy with the product and service.  This may form part of a testimonial.

Cookie information is collected through our hosting company and is used solely to provide information to them to provide professional and quality web services. We use Visitor Analytics software which is a simple website analytics service which measures the traffic and visitors' general details of the customers' websites. Collecting these statistics, a website can make their visitors' experience better (e.g. which pages they visit and when, where they are approximately located, where does a user land first or if they are coming from a specific referral).  Basically, as a website owner using Visitor Analytics, we are using cookies to collect data about visitors' device type and screen size, approximate location, browser, OS, IPs, page visits, bounce rate, conversions and popular content on the website.  All this data is pseudonymized and Visitor Analytics will never use the collected data to identify individual users or to match it with additional information on an individual user.  Each visitor has control over the cookies placement.

The artful topper website does not use any direct payment mechanisms.  The quote request form is a service that submits a pre-formatted email to the artful topper only.

 

5. How do we store client data?

We store clients’ personal data in an offline database (i.e. not in the cloud or any local network).  This database is encrypted using key protected Microsoft encryption.  The data is backed up as part of the housekeeping procedures to offline solid state media and secured.

The database is stored behind a client firewall, with recognised and certified anti-virus and anti-malware software installed and updated automatically updated.  All operating systems used are automatically security patch updated.

The artful topper website is hosted on the Wix.com platform. Wix.com provides us with an  online presence that enables us to showcase our products and provide the conatct details in order for you to purchase our products.  Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. 

Client information may also be stored in emails within the GMAIL email system provided by Google.  The same retention for mail messages will apply to other electronic communication platforms such as Facebook and MSN Messenger.

6. Do we share your personal data?

The artful topper does not share any personal client information with any third party (other than those service providers such as Royal Mail referred to in Table 1.

 

7. Client consent for personal data collection and storage.

 

Part of the order quotation process requires you to send name and email address to the artful topper.  If you want us to hold your data on record after the order processing lifecycle (i.e. enquiry, design, quotation, build, payment and shipment) then please notify the artful topper via email timothy@theartfultopper.com. The order processing lifecycle typical only lasts a few days but may be up to 2 weeks, depending on workload and product build complexity.

 

We may use this data in the future to market our products and notify customers of craft shows and fairs that we may be attending.

We will only keep your personal data on file for future marketing and product information if you have explicitly told us (by any means) to do so.  We will ensure that if an order request is made that is not via the website (order request form), that we actively request your permission to retain your details for marketing purposes.

8. Personal data retention period

 

The ‘retention of personal data’ in Table 1 does not apply to clients who have explicitly given consent for the artful topper to retain the details for future usage as defined in this policy.

The personal data retention period is the next scheduled end of month housekeeping after one full calendar month has passed from receipt of payment or delivery of product (whichever is the latter).  For example, if a product is delivered and paid for mid-month, then the data will be removed from the database and other electronic communication mechanisms.
